Receptionist

General Purpose

The Chaldean Community Foundation (CCF) improves the stability, health, and wellness of those we serve through advocacy, acculturation, community development and cultural preservation.

The Chaldean Community Foundation is seeking a receptionist to join their front desk team on site, Monday through Friday from 8:30 a.m. to 5:00 p.m. The Receptionist will greet a high volume of clients where the duties will include front desk sign in, managing phones, logging information, attending to all visitors, coordinating with staff members, and responding appropriately to guest inquiries. The receptionist will also supply information regarding the organization to the public and clients. This role may also include administrative duties in the back office.

 Main Job Tasks and Responsibilities

  • Warmly greet visitors and answer a high volume of calls, screening callers and logging information.
  • Obtain general client information, logging information into spreadsheet.
  • Communicate with back of office, and effectively track client ticket queue.
  • Take, relay and/or log messages for back office, directing persons to respective personnel.
  • Assist with data entry, general administrative and clerical support.
  • Maintain a neat and clean lobby and work area.
  • Provide appropriate information to callers and log their information.
  • Manage questions and concerns appropriately from the clients, the public, partners, visitors and more while maintaining a courteous and professional tone.
  • Assist data entry and administrative team as needed.
  • Morning set up and evening shut down duties as needed.
  • Other duties as assigned.

Education and Experience

  • High school diploma required. Associates or Bachelor’s Degree preferred.
  • Experience working in a call center atmosphere and data entry preferred.
  • Knowledge of administrative and clerical procedures.
  • Knowledge of computers and relevant software applications.
  • Knowledge of customer service principles and practices.

Key Competencies

  • Ability to multi-task greeting multiple people, logging information, relaying guest count to back office, etc.
  • High degree of stress tolerance, remaining patient and friendly with concerned in person clients, callers, and other guests.
  • Always maintain a strong focus on exemplary customer service.
  • Arabic or Chaldean speaking is required.
  • Excellent communication skills, with high attention to detail and ability to follow process of logging caller information; excellent grammar is expected.
  • Ability to work in a high-volume call environment.
  • Professional personal presentation.
  • Must have basic experience using Excel spreadsheets and Microsoft applications.
  • Organizing and planning skills, with a strong sense of initiative.
  • Reliable and punctual, arriving before 8:30 a.m. to be ready and available to take calls.
  • Must maintain confidential information.
  • Knowledge of the history of the Chaldean community preferred.
